HURMA System is an international company specializing in the development of a system for automating HR tasks and recruiting using artificial intelligence and high security standards. HURMA helps companies find and develop employees, achieving ambitious goals together with them, providing a convenient and affordable solution for automating HR processes.
In an interview with RAU, the founder and CEO of HURMA System, Vladimir Fedak , spoke about how the idea of creating the system came about, its main capabilities and advantages for HR specialists, especially in conditions of personnel crisis and martial law.
– Tell us how the idea of creating an HRM system came about? Is this an original development or were you guided by the experience of other markets?
– HURMA was primarily developed for internal use by IT Svit. The company was growing rapidly, but recruiting and HR processes were not perfect. All our processes were carried out in different formats: employee schedules on a sign, vacation requests by mail, etc.
This confused not only HR, but also employees. Quite often there were situations when people came to the manager with questions about the number of vacation days or other organizational issues. Therefore, we had a need to automate internal HR processes.
At first we tried to find ready-made tools for automating processes, but we were faced with the fact that there was no solution. But most importantly, besides the idea, we then had the free hands of several developers. In just a few months, they developed a prototype of an HRM system, thanks to which information about employees and tasks was in one solution.
— Does your system have an analogue in Ukraine and the world? If so, what is the difference and what is the competitive advantage of your product?
– HURMA is the first Ukrainian HRIS system and remains the industry leader. The system is distinguished by its wide functionality and data security: HURMA is suitable for both HR and recruiting tasks. The system provides extensive analytics, checklists for various large-scale tasks, and the ability to create and expand an extensive database. In addition, HURMA has integrations with all popular Ukrainian job portals, which allows you to post vacancies in a matter of seconds, and resume parsing, which simplifies the collection of data about candidates. HURMA also has a knowledge base that is the most functional on the market. Our clients use this functionality to securely store company knowledge and train employees, which significantly increases training efficiency and saves companies money.
– What business areas is HURMA focused on? Who do you most often collaborate with now, who are among your clients? Are there any representatives from the retail or commercial real estate sector among them?
— HURMA is a universal product that is suitable for companies of different sizes and directions. HURMA has more than a thousand clients from different industries; without exaggeration, we can say that almost every successful business is our client. Retailers, hotel chains, charitable foundations, and IT companies come to us. For example, among our clients there are Aurora, Monobank, Viyar, Logity, Symbol, Sergei Pritula’s fund, GхBar, GoIT. So it’s hard to say that one industry is dominant.
— Tell us about the main features and functionality of the software package.
– Since the beginning of the full-scale invasion, the labor market has experienced significant fluctuations. The challenge was not only hiring, but also retaining employees. According to EY, the retail industry has the highest level of staff turnover – 35%. And the time it takes to fill vacancies at the retailer has increased by 15-20%, because due to the specifics of business processes in retail, the vast majority of employees are middle-aged men. In an environment where employers are forced to compete for specialists, the speed and quality of completing HR tasks plays a critical role. Automation helps a lot in dealing with this.
HURMA consists of two main modules: HR and recruiting. Each of the modules has separate tools that cover most of the routine tasks. For example, vacation accounting, which usually occurs in chats, e-mails and signs, can be easily automated thanks to HURMA, which significantly reduces the risk of errors and speeds up the processing of requests. HR will also benefit from scripts that make it easier to work with large-scale tasks and simplify communication between departments. To create them, you can use existing templates or create your own.
The system offers recruiters tools for the full cycle of work on a vacancy. In a few clicks, they can create a career page or post a vacancy on popular job sites thanks to convenient integration. In addition, it is very important that the system has functions for creating links for posting vacancies on social networks, and now recruiting on social networks works very well. Next, all candidates will automatically be placed on the Kanban board, where the recruiter can clearly see who is at what stage. The system also has the ability to configure automatic sending of letters when a candidate moves to a new stage of the funnel.
The system offers both recruiters and HR detailed and convenient analytics that help make decisions based on data. You can easily understand which recruitment channel works best and invest your money in it. It is very convenient that you do not need to collect a lot of data for manual analysis: HURMA generates all the necessary reports in the form of convenient tables and graphs, and more than 10 reports are available to specialists.
— What is the economic efficiency of the complex: do you have analytics and calculations, how much does the work of the HR department speed up, how much is the savings in monetary terms?
— According to our research, HURMA doubles hiring efficiency and helps save more than 50% of time on routine work. Calculating a specific cash equivalent is quite difficult, because everything differs depending on the company, but automation certainly helps to spend employees' time more efficiently.
– How long does it take to implement the system and train staff to use it? What are the main stages of implementation?
— Moving from signs or from one HRIS to another can often cause difficulties and discourage innovation. However, our goal is to provide maximum support to our customers. Therefore, we help with the transfer of all data, staff training and always stay in touch if questions arise. The service does not require additional payment, but significantly simplifies the process of implementing the system. Thanks to well-coordinated communication, switching to HURMA takes an average of two weeks, but the size of the company also plays a significant role.
– How is pricing for clients carried out? Is this a fixed amount or depending on the size of the company and the number of employees?
– We work on a monthly subscription model, which is calculated based on the number of recruiters and employees. It is important to note that the architectural solution is Single Tenant. That is, each company has its own encrypted server, which ensures the stability and security of using the system: the data is securely isolated and encrypted. We are the only system that offers exactly this most secure architecture at such an affordable price.
– Do you have an exclusively ready-made solution, is it possible to adapt the functionality to the wishes of clients? What can you offer and how is the cost of the work determined in this case?
— We can modify the system at the request of the client. The cost of such a service and the time it takes to complete it depend on many factors and are calculated individually for each client. However, the system is quite universal and does not require modification, with rare exceptions.
— How is after-sales support for the product provided?
– Each client is assigned a personal manager who is in touch to resolve all issues. In addition, we are constantly expanding our knowledge base and expanding opportunities for independent study of the system. For example, we conduct thematic webinars and prepare detailed articles on system modules and its updates. Thanks to this, users can quickly recognize HURMA features and use it to the fullest.
– Do you have plans to develop new directions, create new products? Or for now, will you focus on refining HURMA and introducing additional functions?
– At HURMA, we strive to help companies grow and be the best place for their employees. We regularly collect feedback and use it to improve the system and develop new features. In addition to continuous improvement of the system, there are plans to develop the LMS area. After all, current market trends show that companies need to constantly train employees: both to fill positions for missing qualified personnel, and to maintain existing employees.
